TITLE: Principal's SecretaryPAY GRADE: Classified Salary ScheduleFLSA: Non-ExemptSUPERVISOR: Building PrincipalTERMS OF EMPLOYMENT: Work days will be designated by the Board approved School Calendar. The first day of work will commence 3 weeks before the first day of school and the last day of work will be 1 week after the last day of school. Works on-site according to Principal's designated schedule. School Principal will designate or approve all additional days beyond the currently scheduled days needed throughout the school year.SUMMARY:Performs administrative and secretarial support necessary to accomplish objectives established by the Building Principal. Acts as a liaison between the school and community, principal, parents, staff and students.MINIMUM QUALIFICATIONS:High School Diploma or equivalent required. Secretarial or office and computer experience preferred. Spanish language skills or bilingual/biliterate preferred.ESSENTIAL DUTIES AND RESPONSIBILITIES: (This list of essential duties is not a comprehensive listing of all functions and tasks performed by positions in this class. It does not imply that all positions within the class perform all of the duties listed, nor does it necessarily list all possible duties that may be assigned.)* Serves as a confidential secretary to the building administrator(s) and maintains confidentiality per Idaho Code.* Assists in general administrative operations and responsibilities as assigned.* Orders, processes, distributes and authorizes payment for office materials, instructional supplies and equipment inputs data, and maintains school operating budget.* Acts as building receptionist.* Maintains school and student records and files for building and principal.* Effectively communicates with District Office staff.* Possess the ability to prioritize work assignments as well as be flexible to accommodate the constantly changing demands of the office.* Requests and processes new student records and exiting student records and updates student database as changes occur.* Operates various school equipment such as computers, copiers, fax machines, etc.* Schedules and orients guest teachers.* Coordinates transportation for field trips.* Responsible for bookkeeping functions for school accounts.* Prepares documents/reports including: staff and daily announcements, schedules for bus duty, pledge, etc., staff directory, school calendar, newsletters, principal's report, handbooks, notices, course offering report, student count report, End-of Year State reports, mobility, and other documents/reports as assigned.* Processes attendance for building students and staff on a daily basis.* May assist in the administration of basic first aid.* Other duties as assigned.KNOWLEDGE, SKILLS AND ABILITIES:Ability to communicate clearly and concisely, both orally and in writing. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to effectively communicate in one-on-one and small group situations to parents, students, and other employees of the District. Ability to add, subtract, multiply, and divide in all units of measure. Ability to solve practical problems and deal with a variety of concrete variables. Ability to interpret and implement a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to work in a friendly manner and to develop effective working relationships with students, staff and the school community. Ability to perform duties with awareness of all District requirements, Board of Education policies, and applicable State and Federal laws.PHYSICAL DEMANDS AND WORK ENVIRONMENT:The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some climbing and balancing; frequent stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 35% sitting, 30% walking, and 35% standing. While most duties are performed indoors, the employee may be required to perform duties outdoors in various types of weather, including inclement weather with temperatures at or below freezing for extended periods of time. The noise level in the work environment is usually moderate to loud. The employee frequently interacts with students and staff.
