TITLE: Administrative Assistant to the Superintendent
PAY GRADE: Classified Salary Schedule
FLSA: Non-Exempt
SUPERVISOR: Superintendent/Assistant Superintendent
TERMS OF EMPLOYMENT: Works on-site according to designated schedule

SUMMARY:
Provides administrative, technical, and high-level support to the Superintendent and Assistant Superintendent performing a variety of support functions. Assists with completion of administrative tasks often involving extensive contact with families, members of the public, staff, and trustees.

MINIMUM QUALIFICATIONS:
High school degree or equivalent required. Bachelor's Degree or higher preferred. One (1) year of experience performing at a high level within an educational or executive office setting preferred. Spanish language skills or bilingual/biliterate preferred. Experience with Excel and other data systems required. Strong proofreading, editing, and document writing skills required.

ESSENTIAL DUTIES AND RESPONSIBILITIES: (This list of essential duties is not a comprehensive listing of all functions and tasks performed by positions in this class. * Prepares correspondence, reports, and materials for publications and presentations.
* Maintains the Superintendent and Assistant Superintendent calendar, schedule, and coordinates appointments.
* Works closely with the Superintendent and Assistant Superintendent to plan, schedule, and conduct various events and activities.
* Creates, transcribes, and distributes meeting agendas and minutes.
* Arranges for travel for Administrators.
* Coordinates and arranges meetings and conferences.
* Performs general clerical duties, including, but not limited to: emailing, phoning, photocopying, faxing, mailing, and filing.
* Researches and prepares various reports, presentations, and documents.
* Maintains virtual and hard copy filing system.
* Performs research using various methods.
* Maintains professionalism and confidentiality.
* Possesses excellent computer skills necessary for this position.
* Maintain a positive attitude and style that contributes to the overall public relations of the district.
* Assists other District Office staff as directed or necessary.

KNOWLEDGE SKILLS AND ABILITIES:
Knowledge of grammar, vocabulary, and punctuation. Knowledge of office practices and procedures. Knowledge of various software programs and applications, including Google, Gmail, Microsoft Office suite, Skyward, and social media platforms. Knowledge of K-12 schools. Skill in exceptional organization, problem solving, and computer application, along with excellent communication skills, a sense of humor, and is a team player. Skill in critical thinking and problem solving. Skill in excellent oral and written communication. Skill in working in a fast-paced environment juggling multiple tasks with varying priority levels. Ability to perform varied tasks involving judgment, discretion, and confidentiality. Ability to work in a friendly manner and to develop effective working relationships with trustees, students, staff, and the school community. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to effectively communicate in one-on-one and small group situations to parents, students, and other employees of the District. Ability to add, subtract, multiply, and divide in all units of measure. Ability to interpret and implement a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to perform duties with awareness of all District requirements, Board of Trustees policies, and applicable state and federal laws.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:
The job is performed with minimal exposure in a generally hazard-free environment. While performing the duties of this job, the employee is regularly required to balance, stand, and walk; use repetitive motion; use hands to hold, move, feel and manipulate objects; reach with hands and arms; sit, stoop, or crouch. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Specific speaking and hearing abilities required by this job include expressing or exchanging ideas by means of the spoken word, shouting in order to be heard, and receiving detailed information through oral communication. Performs light work exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
